Barcode Registration
Barcode Registration:
Essential for Product Identification and Supply Chain Efficiency
With retail, e-commerce, and logistics showing vast expanse and diversity, the very ability to identify a product quickly and accurately becomes more of a necessity than a luxury. This is where barcodes come into action.
A barcode is defined as a machine-readable representation of data that has numbers and a number of parallel lines of varying widths for quick recognition and identification of the product. They are useful in many processes, from inventory paperwork to supermarket checkout.
Having unique and well-formatted barcodes is paramount for seamless operations, market access, and a better customer experience for manufacturers, distributors, retailers, and anyone else selling physical goods. It has become a vital standard required for participating in the industry.
GS1 India is the apex organization that gives out unique Global Trade Item Numbers (GTINs). These GTINs are barcoded, and they are recognized worldwide. So, GS1 India barcodes ensure that a particular product is identified uniquely internationally, avoiding duplication and making the processes across the supply chain seamless.
At TaxVice, we realize that while your emphasis is product development and market penetration, the technicalities of barcode generation and integration can be arduous. We specialize in the GS1 barcode registration process, ensuring that your products are marketplace-ready with efficient inventory management and maximizing retail and e-commerce readiness.
What Exactly is a Barcode?
A barcode is a visual representation of data encoded so that the actual code is machine-readable. When scanned with a specific barcode reader, the data represented by the barcode, such as price, inventory level, product description, and date of manufacture, can be retrieved from the database almost instantaneously.
The most commonly used retail product barcodes in the world are EAN-13 (European Article Number) for almost all countries except North America, where UPC-A (Universal Product Code) is more frequently used. Both these types are available under GTINs (Global Trade Item Numbers), representing unique identification numbers for products and services.
Key components and concepts of barcodes:
A unique number assigned to products that identify it uniquely. It is generally a retail product with 13 digits (EAN-13) or 12 digits (UPC-A).
Number block unique to your company assigned by GS1 to ensure differentiation of all products you barcode.
A number unique to each of your specific products assigned by you under your company's prefix.
A digit calculated by a specific algorithm on the entire barcode's other numbers to ensure correctness when scanning.
The visual pattern of bars and spaces (e.g., EAN-13 symbology).
Indian businesses have maintained their trust in Munshi Ji’s, who knew their books better than they did. Three generations, 5000+ clients, and countless cups of chai later, we’re still here! Still upgrading.
Why is Barcode Registration Crucial for Your Business?
For any business that operates with physical products, barcodes offer a variety of benefits that address operational and market access issues:
1. Faster Inventory Control Processes
- A manual inventory system is error-prone, time-consuming, and rarely allows real-time visibility of stock.Barcodes allow for the automated management of inventories. Every time an item goes in or out, it is scanned, and the movement is recorded. They provide accurate real-time data on stock levels pertaining to transfers, incoming shipments, and outgoing sales against an invoice, thus counteracting stock depletion or overstocking situations.
2. Faster Checkout and Point-of-Sale (POS) Efficiency
- Manually entering product codes into the checkout matrix is slow, error-prone, and frustrating for customers. Barcodes allow for quick and accurate scanning at the POS systems. This hastens the checkout process from the customer's perspective while minimizing errors in pricing and adding to overall customer satisfaction.
3. Sales Data and Analytics
- Gathering granular sales information for making important decisions is difficult. Barcodes capture detailed sales data for each transaction. Such data is useful for sales analysis, fast-moving product identification, pricing optimization, and promotion strategies.
4. Supply Chain Visibility & Efficiency
- No visibility for the organization into product movement along the supply chain creates bottlenecks or other inefficiencies. Barcodes allow the seamless tracking of products from manufacturing to warehouse, distribution, and retail shelves. This, in turn, would enhance logistics, decrease loss by theft, and increase supply chain transparency and efficiency.
5. E-commerce and Online Marketplace Compliance
- Many major online marketplaces (e.g., Amazon, Flipkart, Myntra) require products to have a unique GTIN (EAN/UPC) for listing purposes. GS1 barcode registration allows your products to meet the mandatory identification requirements set out by these e-commerce platforms, thus allowing you to sell online and expand your market reach even more.
6. Global Standardization & Interoperability
- Using proprietary or inconsistent product codes could hugely limit your ability to work with a broad base of retailers or expand your business in international markets. All nations and jurisdictions recognize GS1 barcodes. This, therefore, guarantees interoperability vis-a-vis diverse POS systems, inventory software, and supply chain partners worldwide, thereby making it easier for you to expand to new markets.
7. Reduction in Manual Errors & Cost Savings lity
- Manual entry and tracking cause major errors, requiring additional time and cost to fix. Automation through barcodes could reduce manual errors, thus saving time and work, reducing costs, and preventing losses due to inaccurate inventory or pricing.
Who Needs Barcode Registration?
Each business involved in manufacturing, distributing, or selling physical goods substantially stands to benefit from (and, often, be required to possess) barcodes. Some of the examples are:
- Manufacturers: To uniquely identify their products from a point of origin.
- Brand Owners:To manage their product portfolio and brand identity across channels.
- Wholesalers & Distributors:For efficient warehousing, order fulfillment, and logistics.
- Wholesalers & Distributors:For efficient warehousing, order fulfillment, and logistics.
- Retailers (Online & Offline): For POS scanning, inventory management, and managing supplier relationships.
- E-commerce Sellers:To list products on major online marketplaces.
- MSMEs & Startups:Crucial for formalizing product sales and scaling operations.
- Others:Publishers, Pharma Companies, etc. Barcodes cut across different sectors.
How to Obtain and Implement Barcodes (through GS1 India)?
In India, barcodes are obtained upon becoming a member of GS1 India, the only authorized body for the assignment of GS1 Standards.
1. Determine Your GTIN Requirement
- Number of Products: Determine how many unique products (and their variations like different sizes, colors, and flavors) require barcoding. This assists in deciding which GS1 subscription plan is suitable.
- Company Prefix Capacity: GS1 issues a "Company Prefix," which allows you to generate a specified number of unique GTINs.
2. Membership Application to GS1 India
- Online Application: IGo to the GS1 India official website (www.gs1india.org)
- Fill Membership Form:Complete the online application form by giving details regarding your company, nature of business, and product range.
-
Upload Documents: Submit the necessary documents, which may include:
- Company PAN Card.
- Certificate of Incorporation/Partnership Deed/GST Registration Certificate/IEC.
- Canceled cheque/bank statement.
- Proof of address.
- Letter on company letterhead confirming business details.
- Fee Payment: Payment of a one-time registration fee and several annual subscriptions to GS1 India. Depending on your annual turnover and the number of barcodes required.
3. Company Prefix:
- Upon successful application processing and full fee payment, GS1 India shall allocate a unique Company Prefix to your organization.
4. Generating GTINs (Product Numbers):
- Using the issued Company Prefix, you can now generate unique GTINs for all products. GS1 India gives tools and guidelines to assign such product numbers and calculate their check digit. Each separate product version (e.g., 200ml shampoo vs. 500ml shampoo) requires a different unique GTIN.
5. Create Barcode Images (Symbology):
- After preparing the GTINs, you need to create scannable barcode images from them (e.g., in the EAN-13 symbology). This can be done mostly using barcode generation software, while some are hired out to vendors or an in-house designer. Also, ensure that the barcode images are printed in high quality according to GS1 specifications concerning size, color, and placement so that they can be scanned reliably.
6. Integrating Barcodes:
- Barcode images should be printed directly onto product packaging, labels, or tags from wherever stocks are integrated. Your barcode management system should also integrate with your inventory management software, POS systems, and e-commerce platforms.
